How to invite someone to your Metro Vancouver IT dashboard
The owner of a hosting account should not text a password to the bookkeeper. As of 14 September 2026, you invite them from metrovancouverit.ca/dashboard/team. They get their own login. You pick Billing, Technical, or Full access. This page is the walkthrough with the real URLs and a printable checklist.
Why we built this instead of another shared inbox
We have already watched shared logins slow a business down. On the Judi Wang CPA project, shared logins and ad-hoc file shares were part of the problem we were hired to fix. Staff needed named accounts and role-based access, not one password on a sticky note. The same rule now applies to the hosting dashboard we operate: the bookkeeper should not have SiteWorx, and the freelancer should not open invoice PDFs unless you chose Full access.
If you host a public site with us — a school like Modern Warrior is the named example on this site — you already have a dashboard for services, invoices, and tickets. The new Team page is how a second person joins that same account without becoming a second owner.

Public signup is closed. A new person gets a login only after checkout, or after they accept an invitation. If they already have a Metro Vancouver IT login, they must sign in as the invited address before they can join.
Invite someone in five minutes
- Open /login as the owner. If you are not the owner, Team will not appear in the sidebar and /dashboard/team will refuse the request.
- Open /dashboard, then Team in the sidebar, or go straight to /dashboard/team.
- Under Invite someone, type the other person’s email — not yours.
- Set Access to Billing, Technical, or Full access. The page repeats what each role can do.
- Click Send invitation. They receive an email titled from Metro Vancouver IT with a button: Accept invitation.
The invitation expires in 7 days. Until they accept, they appear under Pending invitations with Resend and Cancel. After they accept, they move to People with access, where you can change the role or Remove them.
If they already have a Metro Vancouver IT login on that same email, the Accept invitation link sends them to /login first. After they sign in, they return to the invitation URL and click Join this dashboard. If they do not have a login yet, the same URL asks for a name and a password (minimum 8 characters) and then creates the account.
If they click the link while signed in as a different email, the page says Wrong account and offers Log out to continue. That is expected. The invitation is tied to one address.
What each role can open

Support is on every invited role on purpose. A bookkeeper who sees a failed payment should be able to open a ticket. A developer who sees a down site should be able to reply on the same thread. The ticket still belongs to the owner’s account. Each message shows who wrote it.
Email about that ticket goes to the owner, plus members whose role covers the item: Billing for payment and plan replies, Technical for credentials and service replies. We do not fan a service-request thread out to a Billing-only member.
After they join
Accepting the invitation drops them on /dashboard already viewing your account. If they later sign in again and land on an empty dashboard of their own, that is their personal login — not a missing invite. Use the Viewing menu in the sidebar to switch back to your account. The same switch lives on /user/profile under Accounts you can access.
They should set two-factor authentication on that profile page. Their password is theirs. Resetting it does not change yours.
They can leave your account from the same profile list, or from the dashboard leave action when they are viewing your account. After they leave, they need a new invitation to come back. Removing them from Team does the same thing from your side.
What we recommend today (14 September 2026)
This is the recommendation Metro Vancouver IT currently stands behind, not a generic best-practice paragraph:
- Invite the person who pays invoices as Billing.
- Invite the person who ships code or edits WordPress as Technical.
- Use Full access only for a partner who already sees both the books and the server.
- Do not paste the owner password into Slack, email, or a password manager shared with a contractor.
- Team invitations are included with the customer dashboard. There is no extra monthly line for a bookkeeper seat. Hosting itself is still the plan you already bought on /pricing or at checkout.
If you do not have hosting with us yet, start at WordPress hosting or contact. Invitations only appear after there is an account to invite people into.
Printable checklist
- I will not invite the email I already use as owner.
- The person has an email they actually read. The link lasts 7 days.
- If they only pay invoices: Billing. If they only touch hosting: Technical.
- If they need both, I will send Full access — not my password.
- They will set their own password and can turn on 2FA at /user/profile.
- I can Resend, change the role, or Remove them from /dashboard/team.
- I told them support replies live in the dashboard, not as a long email thread.
- If they already have a Metro Vancouver IT login, they sign in as that invited email first.
Questions owners actually ask
Where do I click to invite my bookkeeper?
Sign in at metrovancouverit.ca/login, open metrovancouverit.ca/dashboard/team, enter their email, choose Billing, and click Send invitation.
Can two people share one login if I trust them?
You can, and we will still tell you not to. Shared passwords hide who changed a plan or opened credentials. Invite them. It is free and it is the product we stand behind as of 14 September 2026.
The invitation email never arrived. What now?
Ask them to check spam for Metro Vancouver IT. On Team, use Resend. If the 7 days already passed, Cancel the stale row and send a new invitation. If nothing arrives after a resend, contact us from the owner account.
They already pay for their own hosting. Can I still invite that email?
Yes. Their login can belong to more than one dashboard. After they accept, the Viewing menu switches between their account and yours. They do not become a second owner of your services.
Can a Technical person invite someone else?
No. Only the owner sees Team. Full access is still not Owner. If you want us to change the owner email on the account, that is a support request, not a Team invitation.
Do invited people see every old ticket?
Yes. Tickets stay on the owner’s account, and every invited role can open and reply. Email about a ticket still follows the role: Billing is not mailed for a service-only thread.
